This policy explains what personal data Workflow ("we") processes when you use RecordAI, the panel for Adobe Photoshop, buy a subscription or visit recordai.dev.
Who is responsible

Your images and documentation stay on your computer
RecordAI stores batches, documentation, notes and reports locally in the plugin's data folder on your computer. Images, file names, batch and client names are never sent to us. RecordAI writes an identifier into the metadata (XMP) of documents you register; it stays in your files.
What we process
Licence data. When RecordAI checks or renews a licence it sends a licence key and a random installation ID, created by the plugin, to our licence server (api.recordai.dev). We store which installations a licence is active on and when they were last seen, so we can apply the number of computers your plan allows. Like any internet request, this includes your IP address, which our hosting provider processes to deliver the request.
Purchase data. When you subscribe, Stripe handles the payment. We receive your name, e-mail address, billing address, country, VAT number (if given), the plan, the subscription status and invoice details. We never receive your card details.
E-mails. We send your licence key by e-mail when you subscribe or ask for it to be resent.
Website. recordai.dev uses no cookies, no analytics and no tracking. Fonts are served from our own domain. Our hosting provider processes your IP address to deliver the pages.
Why, and on what legal basis
To deliver the subscription and licence you have bought, including checking the number of computers (GDPR art. 6(1)(b), contract).
To keep accounting records and invoices as required by Danish bookkeeping law (art. 6(1)(c), legal obligation).
To prevent misuse of licences and keep the service secure (art. 6(1)(f), legitimate interest).
Processors
We use these providers, who process data on our behalf under data processing agreements:
Stripe (Stripe Payments Europe Ltd., Ireland) for payments, invoices, VAT and the customer portal.
Cloudflare for hosting the website and the licence server. The licence database is stored in the EU.
Resend for sending licence e-mails, using its EU region.
Some of these providers are part of groups based in the United States. Where data may be transferred outside the EU/EEA, it is protected by the EU–US Data Privacy Framework and/or the EU Standard Contractual Clauses.
If you get RecordAI through the Adobe Creative Cloud Marketplace, Adobe processes your Adobe account data under Adobe's own privacy policy.
How long we keep data
Licence and installation data: while the licence is active and up to 12 months after it ends.
Customer and invoice data: for 5 years from the end of the financial year, as required by the Danish Bookkeeping Act.
Your rights
You have the right to access, correct and delete your data, to restrict or object to its processing, and to receive your data in a portable format. Write to hello@recordai.dev. You can also complain to the Danish Data Protection Agency (Datatilsynet), www.datatilsynet.dk.
Changes
We may update this policy. The date at the top shows the latest version; for significant changes we will notify subscribers by e-mail.
